HR Operations Manager

Samotics is a rapidly growing Tech company based out of Leiden, The Netherlands. As we continue to expand our world-class team and strive to be an amazing place to work, we are looking to reinforce our People team with an HR Operations Manager.


Our Organization & People foundation

Over the past period a lot has already been achieved in laying the foundation for our Organization & People approach. We have implemented tooling for recruitment, performance reviews and our HR administration. We’ve introduced a salary house, raise guidelines and a formation plan. And last but not least, we’ve created the tools and procedures to support our employees and recruits on a day-to-day basis.

What you’ll do

As our HR Operations Manager, you will handle all the day-to-day activities related to recruitment, onboarding, relocation, payroll, performance management, employee wellbeing and illness. You’ll be the main point of contact for HR-related questions and the guardian of employee well-being.

Your most important responsibilities will include:

  • Recruitment
    • Write job descriptions (in English)

    • Manage the recruitment process end-to-end

    • Help hiring teams define the right way to interview candidates (interview scripts, cases, other assignments)

    • Track progress of vacancies, pro-actively communicate with hiring teams and suggest ways to improve hiring rate

    • Screen candidates in a first interview, before they continue to the hiring team

    • Communicate offers to successful candidates

  • Relocation
    • Help our international hires relocate to The Netherlands by booking their tickets and helping them find temporary accommodation

    • Take care of visa applications where required

  • Onboarding
    • Plan the onboarding period for our new starters

    • Ensure starters have necessary accounts and equipment on their first day of work

    • Receive starters on their first day in the office and ensure they are ready to get started

  • Payroll
    • Ensure the HR Administration at our payroll provider is kept up to date

    • Work with our payroll provider to ensure salaries are paid accurately and on time

  • Illness
    • Handle the administrative side of short- and long-term illness, absence, and other major employee events

    • Handle the human side of these events by staying in touch with the employee, honouring both the appropriate rules and regulations and the employee’s needs

    • Stay in touch with relevant external parties such as the UWV and the insurance company to ensure timely and effective communication where required

  • Performance management
    • Ensure that half-yearly development talks take place; chase team managers if they don’t

    • Ensure that all employees understand how to make optimal use of our performance management tool, and train them where needed

  • Other
    • Create regular reports on progress of recruitment and other
      People updates

    • Answer questions from employees about payroll or HR policies

    • Maintain a solid HR administration and documentation system

    • Ensure the employee handbook and HR handbook stay up to date

    • Handle other administrative tasks as they come up (e.g., providing employer statements for employees who are in the process of buying a house)

The HR Operations Manager will report to the Head of People

Requirements

  • Several years of experience in Recruiting and HR

  • A University or relevant HBO degree

  • Fluent in Dutch and English

  • Experience in relocating expats and visa applications is desirable English
